Oregon Music Educators Association (OMEA) is committed to user privacy in our practices and services. This policy outlines our personal information handling practices. If you give us personal information, we will treat it according to this policy.

OMEA encourages you to read this privacy policy and those of all web sites you visit. Below is a summary of OMEA's online privacy policy.

Types and uses of personal information 

Your personal information is used in the following ways:

  • The OMEA online directory facilitates communication between members. Your contact information is available to other members through the website. Access to the information is available through the members-only area.
  • User IDs and Passwords. Provides you with access to your user account information and to protected content.
  • Account Information. This tells us more about who you are, how to contact you, and your online participation information.
  • User Feedback and Support. Provides a mechanism for requesting information from OMEA. Also used to tell us how we can improve our services and site designs.
  • Email Correspondence. Used to raise and respond to issues and inquiries of all types. Also used to distribute information about OMEA, our policies, and services.

We will only use your personal information in the ways specified when it was collected. We will not subsequently change the way in which we use your personal information, unless we publish the new usage in this privacy policy.

IP Address 

We use your IP address to help diagnose problems with our server and to administer our Web site. Your IP address is used to gather broad demographic information.

Registration Forms 

Our site's registration forms may require users to give us contact information (like their name and email address), and demographic information (like their zip code or hotel preferences). We use user contact information from the registration form to send the user information about the event or activity specified in the registration.

Security Measures 

We protect the personal information you share with us. Online access to your personal information is limited to people who need it to do their job.

Authorized third party agents may also need access to some of your personal information. For example, if we need to ship something to you, we must share your name and address with a shipping school. We only provide third party agents with the minimum amount of information needed to complete the requested service or transaction.

This site has security measures in place to protect the loss, misuse and alteration of the information under our control. The physical devices running this site are located in a secure facility. A high-strength firewall protects our database from outsiders. Access to many areas of our site is password protected.

Partners 

Our site is developed, hosted and maintained by a third party who has access to all information on this site. This "Powered by" partner is responsible for maintaining the privacy described in this statement. The third party retains no rights or privileges associated with the information (i.e. cannot distribute, sell, exchange the information collected).

Data Retention 

OMEA will not retain your personal contact information longer than is necessary for the purposes for which it was collected. Broad demographic data is archived to help diagnose the effectiveness and history of our organization.

Children's Privacy 

When does OMEA collect personal information from children?

OMEA collects personal information from children who are registering for participation in OMEA All-State Honor Groups, Middle School Honor Groups, District Solo and Ensemble Festivales, and State Solo Contest. We do not knowingly collect personal information from children at any other time.

Who has access to children's personal information?

Access to the personal information of middle school aged children is limited to people who need it to do their job, including OMEA Administration and Honor Group organizers. High School students' mailing information may also be made available to third party organizations only if the student has specified that they wish to receive mail from said third party organizations (such as colleges and universities) when they registered. Additionally, the names and schools of high school students accepted to the All-State groups will be available for OMEA member directors to review in the protected OMEA members-only area.

The names and schools of students scheduled to perform at district and state contests may be provided online in event schedules.

How do parents access information about their kids?

Parents may contact OMEA at [email protected] to review all information about their children collected on the OMEA site. Please include information (child's name, group they are participating in, parent email address) in the email that will help us identify your child's account so we can assist you with your inquiry or request. Once again, OMEA will not retain personal contact information longer than is necessary for the purposes for which it was collected.

OMEA encourages parents and teachers to go online with their kids. Here are a few tips to help make a child's online experience safer:

  • Teach kids never to give personal information, unless supervised by a parent, teacher, or responsible adult. Includes name, address, phone, school, etc.
  • Know the sites your kids are visiting and which sites are appropriate.
  • Look for Web site privacy policies. Know how your child's information is treated.

This site contains links to other sites. OMEA is not responsible for the privacy practices or the content of such Web sites.

Cookies 

The OMEA site uses cookies. Cookies are pieces of information that a Web site sends to your computer while you are viewing the Web site. These pieces of information allow the site to remember important information that will make your use of that site more enjoyable. For example, the OMEA site uses cookies to save your view of the OMEA Site Map.

You can choose to have your computer warn you each time a cookie is being sent, or you can choose to turn off all cookies. You do this through your browser (like Netscape Navigator or Internet Explorer) settings. Each browser is a little different, so look at your browser Help menu to learn the correct way to modify your cookies. Forums 

This site makes forums, message boards, and/or news groups available to its users. The web site may have both "members only" (password-protected) forums and "non-members" forums. Please remember that any information that is disclosed in these areas may become public information and you should exercise caution when deciding to disclose your personal information.

Choice/Opt-Out 

Our site provides you the opportunity to opt-out of receiving communications from us at the point where we request information about you. If you choose to opt-out only your school information will be available through the online directory.

You have the following options for removing your information from our database so as to not receive future communications or to no longer receive our service.

Members who are the individuals designated by their Sustaining member school as being in charge of the member school's information may not opt out of mailings, as receiving this information is an integral part of membership; such individuals should contact their member schools if they do not wish to serve in this role.

Notification of Changes 

If we decide to change our privacy policy, we will post those changes on our web site so our users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. If at any point we decide to use personally identifiable information in a manner different from that stated at the time it was collected, we will notify users by way of an email. Users will have a choice as to whether or not we use their information in this different manner. We will use information in accordance with the privacy policy under which the information was collected.
